Responsibilities
- Full management and representation of the office of a C-Suite Executive; inclusive of but not limited to management of their calendar, email inbox and personal and business contacts.
- Manages confidential information as it relates to their Executive and department.
- Manages activities, communications and materials related to the Board of Directors, Senior Advisory Committees and the Senior Leadership Team.
- Establishes work priorities and directs assignment of work to various department staff according to scope of allowed authority.
- Coordinates and sends meeting invitations and agendas to attendees, books meeting rooms and arranges for IT resources and refreshments in support of a smooth and efficient meeting facilitation.
- Organizes and manages complex international multi-leg travel, including oversight of Executives’ end to end travel, detailed daily itineraries and meeting schedules.
- Supports Executives and their leadership team in delivering departmental Annual Operating Plan and Annual Strategic Plan.
- Partners with Office of the CEO on annual company calendar.
- Authority to make decisions on behalf of the Senior Executive.
- Maintains confidential personal information of Senior Executive and ensures information is handled appropriately.
- Oversees the approval of department expenses, including the review of employee expense claims for accuracy and adherence to policy on behalf of Senior Executive.
- Acts as a communications liaison with Department as required, including composing and sending outgoing responses and teamwide communication on behalf of the Senior Executive.
- Organization of departmental events and activities, including off-sites.
- Responds to inquiries or refers them to the appropriate partner.
- Prepares briefing notes and minutes of meetings, as required
- Delegates and follows up of action items that fall within realm of responsibility.
- Participates as a member on committees or project teams as requested or as appropriate to the role.
- Providing Senior Executive ad-hoc support on an as needed basis.
- Provides coaching and mentorship to colleagues in regards to Senior Executive requests.
Qualifications
- Ideally 5 years’ experience in a Senior Executive support level capacity with increasing responsibilities.
- Excellent business acumen and ability to exercise initiative, tact, sound judgment and prioritization.
- Able to observe and maintain the utmost confidentiality.
- Proven ability to work effectively in a demanding and fast paced environment with little or no supervision.
- Advanced-level Microsoft Outlook, Word, Excel and PowerPoint proficiency.
- Experience working with a publicly traded company.
